Event Detail View
Event details can be found after selecting an Event. There are several tabs within the event view including: Overview, Activities, Contacts, Media, and Files.
In the Event Overview tab a user can view details including the Date/Time, Event Totals, Event Information and Place Information.
1. Date/Time is determined by the Activities a particular event is made up of. The date and time range will be the first and last date of the activities assigned to the event. These dates are generated automatically and cannot be changed by editing the event.
The total number of activation hours will display below.
2. The Place details are displayed below the Date/Time Details. Places are assigned directly to an Event, each Activity assigned to an Event will inherit the Place assigned to the parent event. In the Place Details on the Event Overview Tab a user can view the place on the map, choose to view the Place tab within the okapi platform, receive driving directions, view the address, and view place information like hours of operation, website, and phone number. All Place specific data is pulled in real-time from Google Places. okapi has no control over the data stored within the Google Places database.
3. If available,Event totals are displayed on the right side of the Event Overview tab. Event totals are details pulled directly from the activity recaps from the activities assigned to this event. The fields that are shown in the Event Totals display will vary based on recap questions.
4. Event Details will be displayed beneath Event Totals. Event details are entered when the Event is created and may be changed by editing the Event.
Note: Once an Event has been created the Event Type may not be changed.
Lastly, users can navigate to Event Activities, Contacts, Media and Files from the Event Overview tab.
The Activities tab shows all of the Activities associated with a specific Event.
Contacts can be associated with specific events in the platform. Users can assign contacts to an event by creating a Contacts within the Contacts tab and then associating that Contact with an Event.
A window will appear with a contact list. Users can select one or multiple contacts to associate with an Event.
Media can be assigned to specific events. Media assigned to an event will also be displayed in each associated activity within that event. Users can upload media to be associated with an event by navigating to the Media tab in an event. Users have the ability to drag and drop pieces of media or choose media directly from their computer library by selecting "Click or drag file to upload" or dragging media over the inbox icon.
Users can filter the media display by selecting Filters which expands the filter menu. Media can be filtered by whether the media is attached to an event or activity and what type of media file it is.
Media items can be expanded, downloaded, and deleted.
Media items can be tagged, select the +New Tag button and a pick list of tags will show. Users can select multiple tags.
Lastly, media can be searched by tag using the search bar.
Files can be assigned to specific events. Files assigned to an event will also be displayed in each Activity associated with that event in the Activity Files tab. Users can upload files to be associated with an Event by navigating to the files tab within an event. Users have the ability to drag and drop files or choose files directly from their computer library by selecting "Click or drag file to upload" or dragging files over the inbox icon.
Users can filter files displayed by selecting Filters which expands the filter menu. Files can be filtered by whether it is attached to an event or activity.
Users can edit a file name by selecting the pencil icon then selecting the green check mark to save changes. Files can be deleted by selecting the red delete icon.
Lastly, files can be searched by name in the search bar.
